Total Safety is looking for an Administrative Support Supervisor to join their safety conscious team! The Administrative Support Supervisor is responsible for supervising personnel and operations including the assignment and review of staff work, interpretation of policy and procedures for staff, initiation, and management of disciplinary actions, interviewing and selection of staff, and scheduling of work time.

- Coach, counsel, mentor, and evaluate Administrative Assistant staff.
- Develop and manage strong relationships with administrative assistants and managers.
- Composes business correspondence, maintains office files, compiles financial information, and serves as a liaison with the IT team regarding network and phone systems.
- Maintains positive professional relationships with division managers and staff, clients, and vendors.
- Align administrative assistants to managers to ensure efficiency and effectiveness.
- Approve time and update vacation schedules for all administrative staff.
- Maintain log of operational support issues and elevate as required.
- Track and enforce mandatory and as-needed training for administrative assistants.
- Meet, greet, and assist new employees as they acclimatize to a new office environment.
- Coordinate internal moves, changes, and new hire setups.
- Direct experience with knowledge of departmental function, procedures, terminology, and interrelationships. Internal experience preferred.
- PC Skills with proficiency in MS Word, Excel, and Outlook.
- Ability to develop spreadsheets and modify formats and ability to recommend improvements.
- Ability to maintain data integrity, extract data and prepare reports accurately and timely.
- Ability to maintain confidentiality with sensitive data and issues.
- Good organization and time management skills to handle multiple tasks and changing priorities.
- Must be able to work without interruption.
- Must demonstrate ability to work in a team environment and willingness to assume additional or new responsibilities readily.
- Spends most of the time in an office environment. Occasional visit to shop area. Must take care in moving or lifting office supplies. Infrequent exposure to shop hazards including noise, heavy equipment, high pressure, chemicals, and fumes.
Education: Associate degree and a minimum of five (5) years of administrative experience.
