Job Title: Safety Fleet Assistant
Department: Administration
Position Overview
The Safety Fleet Admin reports directly to the AVP, Human Resources and will provide administrative support by ensuring compliance with all mandated corporate policies and assist in developing best practices for the efficient operation of safety and fleet services. The Safety and Fleet Services Admin will also provide timely information and reports improve total fleet reliability as requested to the Fleet Services Manager.
Essential Job Functions
•Enter data and maintain in Azuga GPS Telematics Software.
•Schedule maintenance and repairs with vendors for vehicle, trailers, and backhoes. Ensure compliance with established time frames to complete servicing tasks.
•Obtain estimates and parts price quotes, generate purchase orders and coordinate drivers.
•Maintain accurate records of maintenance and repairs performed.
•Assist with accident reporting and subrogation tasks.
•Coordinate inspections for Tag renewals for each vehicle and trailers.
•Maintain, track and report on a variety of DOT Compliance Process.
•Maintain the Vehicle Work Order tracking system.
•Track and maintain recall campaigns or equipment and vehicle safety bulletins.
•Assist in maintaining company fuel card program, including the associated use reports used for IFTA and HUT purposes.
•Update reports for the Fleet Manager.
•Perform other duties as assigned by Fleet Manager or other Management members.
•Pick up parts and supplies.
•Pick-up and drop-off vehicles at yards and repair shops.
•Diagnose minor issues with vehicles.
•Update Software programming.
•Inspect, clean and refuel vehicles.
•Check incoming vehicle for defects, worn or broken parts or safety issues, and log defects.
•Inspect, check and top-off fluid levels and air in tires.
•Assist with making new vehicles ready for operations. Handle spare keys, add documentation, hardware, safety equipment and decals for vehicles.
•Prepare vehicles for disposal: Complete basic condition report checklist.
Education and Experience Requirements
•High school diploma or equivalent work experience
•3-5 years of Fleet operations/administrative experience
•1- 4 years automotive mechanical experience preferred
•Must possess and maintain a valid Texas Class C driver license and good driving record
•Proven ability to be able to multi-task and recognize the role of prioritizing to drive task and project completion.
•Proven ability to handle confidential, sensitive and critical issues.
•Must have proven customer-facing experience with a demonstrated ability to initiate programs and resolve customer issues.
•Excellent verbal and written communication skills, both internal and external MS Office skills (Word, Excel, Outlook).
•Variety of software experience at an intermediate level is helpful
•History of being a self-starter and self-directed to perform commendable work with minimal guidance or direction.
•Must be able to travel to all facilities
Work Conditions
Occasional exposure to noise, dust, fumes, noxious odors, gases, mechanical and electrical hazards, moving objects, sharp edges, and temperature extremes.
Physical Demands: Sitting and using a computer for eight (8) or more hours per day.
Standing or walking for up to two (2) hours per day. Lifting and / or exerting of force up to 20 pounds occasionally and 10 pounds frequently. Frequent climbing in/out/onto vehicles. Occasional bending, squatting, stooping, twisting, and reaching. Visual acuity to drive, perform manual detailed work, and to read printed and electronic documents. Hearing capacity to receive, perceive, and react to common office and shop environment noises. Manual dexterity to manipulate, handle, and feel. Occasional operating of motor vehicles. Frequent use of personal protective equipment (PPE) necessary for working safely.
