Fleet Administrative Assistant
This Fleet Administrative Assistant role in our Phoenix, AZ office supports day-to-day operations through data entry, filing, and Excel reporting. Essential Duties:
•Fleet GPS and camera program administration and file maintenance.
•Maintain accurate records of vehicle repairs, services, and inspections.
•Data entry of fleet-related records.
•Prepare reports on fleet operations and performance.
•Monitor and update new equipment in GPS database.
•Assist with daily administrative duties.
•Support Fleet Managers as needed.
•Monitor fleet and fuel exceptions and track cost.
•Assist in the procurement process for new vehicles and equipment.
•Schedule and organize driver training sessions.
•Assist in the development and implementation of fleet policies and procedures.
•Maintain and distribute vehicle registration and insurance documentation.
•Support the Fleet Director in day-to-day operations and special projects.
•Other duties as assigned.
Key Qualifications:
•A high school diploma or equivalent.
•Previous administrative experience in fleet management, automotive administration, or a related field.
•Ability to organize and prioritize tasks effectively, especially when dealing with multiple vehicles, drivers, and schedules.
•Accuracy in record-keeping, data entry, and documentation to ensure compliance and efficiency.
•Strong verbal and written communication skills.
•Proficiency in Microsoft Office suite (Word, Excel, Outlook). Familiarity with fleet management software or databases is a plus.
•Ability to identify and resolve issues related to vehicle maintenance, scheduling, and administrative tasks.
•Basic understanding of regulations related to vehicle maintenance, safety, and compliance.
•Valid Driver’s license with clean driving record.
•The physical activity required for this role includes:
+ Sitting for extended periods in an office environment
+ Frequently standing, walking, stooping, reaching, climbing, bending and reaching
+ Manual dexterity for computer use, files and office equipment
+ Occasionally lifting objects weighing up to 50 pounds
•Pass pre-employment drug screen and background check
