Job Summary
The Field Operations Administrative Assistant provides comprehensive administrative support to the Field Operations Director and his/her leadership team, ensuring smooth coordination across operational functions. This role is pivotal in managing communications, organizing departmental resources, and facilitating cross-functional collaboration. Responsibilities include managing schedules, preparing correspondence and reports, maintaining confidential records, coordinating travel and departmental events, and assisting with contract renewals. The position requires a high level of integrity, discretion, and adaptability in a fast-paced environment, with occasional duties during emergency callouts and CORE-sponsored events.
Essential Duties and Responsibilities
- Perform secretarial duties and schedule management for the Field Operations Director on a regular basis and Field Operations leadership teams as needed.
- Prepare correspondence from the Field Operations Director and other leadership personnel within the Field Operations Departments.
- Maintain office files, correspondence, reports, and other matters for the Fields Operations Departments.
- Collect, assemble, and produce records and reports of tabulating or statistical nature to be used by the Field Operations Departments.
- Maintain files, correspondence, reports, and other matters for the Field Operations Departments, which may consist of material of a confidential nature relative to the Cooperative’s business and/or personnel records relating to the managerial staff or labor relations.
- Prepare minutes taken at meetings as required by the Field Operations Director and leadership personnel within Field Operations.
- Maintain office supplies for the Sedalia Field Operations Department.
- Serve as CORE’s annual contracted pole inspection Project Manager/Point of Contact.
- Prepare the itinerary and establish travel arrangements for the Field Operations Department’s personnel.
- Assist Operations Technical Trainer with preparing supporting materials and capturing notes during training sessions.
- Collaborate with the Safety Department to compile and organize pertinent information during investigations of accidents and spills as needed.
- Collaborate with the Finance team regarding work orders and budget compilation from Field Operations Departments.
- Assist in organizing supporting resources for crews during major storm events.
- Draft and review various documents, templates, reports, processes and procedures for formatting accuracy.
- Assist with contract maintenance/renewals for Field Operations contractors.
- Support various committees at different levels within Field Operations as needed.
- Required to return to work in connection with callouts and emergency situations when directed to do so by supervisor.
- Assist with facilitating events/catering as needed.
- Perform other duties as directed.
- High school diploma or equivalent certificate is required.
- Proficient with computer applications within Microsoft Office, including Excel, Word, Outlook, PowerPoint.
- Proven experience working collaboratively across departments.
- Experience collecting, analyzing, formatting and reporting data is necessary.
- Willingness to work extended and irregular hours in a supporting role during storm events and CORE sponsored public events as needed.
- Capability to support multiple teams in a fast-paced environment is required.
- Three years of management-level administrative experience is preferred.
- An associate’s degree in business or related area is preferred.

- The physical requirements for this position are considered sedentary work. This position exerts up to 10 pounds of force occasionally. The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes.
