Job Description:
This position provides administrative support for the Environmental Services, People and Culture, and Workplace Strategy departments. Coordinates environmental compliance correspondence, including internal peer review process, submitting compliance deliverables, receiving incoming mail and email, and related recordkeeping, filing, and documentation. Submits requisitions and requests for payment of invoices. Supports meeting scheduling, travel arrangements for staff, completes small payments through use of Purchasing Card, and locates files and documentation during audits and inspections. Manages Spill Response Calendar and coordinates with answering service. Provides additional administrative support, as necessary or assigned.

Administrative Assistant
Hiring Salary Range: $56,000-$68,000
Actual compensation offer to candidate may vary outside of the posted hiring salary range based upon work experience, education, and/or skill level.
Responsibilities:
Environmental Services:
- Draft and edit correspondence, memoranda and other documents; copy and distribute documents. Compose correspondence for senior executives, managers, and others.
- Overall coordination of the submittal of environmental compliance deliverables (e.g., reports, letters) as they are first created by technical staff, then undergo a process of peer and management review and approval, followed by submittal to the appropriate regulatory agency(ies).
- Serve as primary caretaker of outgoing email from and incoming email to a general Tri-State environmental compliance email account.
- Various recordkeeping, filing, and documentation tasks in accordance with regulatory requirements, company policies, and business best practices.
- Serve as a trusted steward in occasionally handling sensitive and/or confidential information.
- Prepare requisitions and arrange for payment of invoices received and maintain appropriate records, working with Accounts Payable as appropriate.
- Event Assistance, schedule meetings, assemble appropriate materials and information, room booking, food ordering.
- Maintain and use a corporate Purchasing Card in accordance with company policies.
- Maintain and manage organized files and records, both electronic and hard copies.
- Periodically prepare and adjust Spill Response Calendar and coordinate with answering service.
- Support travel requests by department staff.
- Receive and process incoming mail and email. Take occasional telephone calls and visitors. Provide additional administrative support to department staff, as appropriate.
- Assist with ordering materials, new hires, and open enrollment.
- Process Retirement Certificates, referral and reimbursement payments.
- Education Assistance Tracking.
- Work Comp reporting and invoicing.
- Performance review trouble shooting.
- The Grid page updates.
- Process Oracle reports.

Education and Training
- High School Diploma or equivalent.
- High School level competency in English and math, and extensive knowledge of spelling, punctuation and grammar.
- Proficient with personal computer usage including business office applications such as spreadsheets, databases, email, graphics and presentation applications, including MS Office suite of applications.
- Above average typing skills.
- Extensive knowledge of administrative office procedures and filing systems.
- Ability to effectively communicate, both orally and in writing.
- Ability to maintain effective working relationships.
- Ability to maintain confidentiality.
- Ability to coordinate work with others.
- Six (6) years of progressive administrative support experience to include a minimum of four (4) years as a secretary and two (2) years of word processing experience, preferably in a corporate or business office environment.
- Requires considerable knowledge of the organization to identify and understand interrelationships between various procedures and controls between corporate functional areas.
- Willingness to travel on occasion for training, conferences and meetings as needed. (Must possess a valid driver’s license.)
