Overview: We are seeking an Administrative Assistant to join our team. The ideal candidate will be organized, detail-oriented, and possess strong administrative skills to effectively assist office operations.
- Assist Office Manager and Executive Team with day-to-day office operations to ensure smooth and efficient functioning.
- Coordinate office administrative procedures and review, evaluate, and implement new procedures.
- Process Purchase Orders and communicate with staff and vendors
- Handle scheduling, including appointments and meetings.
- Update data in various software and accounting systems.
- Monitor and order office supplies and equipment, maintaining optimal inventory levels.
- Maintain organized filing systems, both electronic and physical.
- Assist with Accounts Payable, Sales, Accounts Receivable, and any other data entry as needed.
- Assist in the preparation of regularly scheduled reports and presentations.
- Ensure adherence to health and safety policies in the office environment.
- Support HR in various administrative tasks as needed.
- Greet and assist visitors and clients in a friendly and professional manner.
- Answer and direct phone calls, and manage incoming and outgoing correspondence.
- Proven experience as an Administrative Assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.
- Familiarity with QuickBooks software.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- High attention to detail and problem-solving skills.
- A positive and professional attitude with a commitment to excellence.
- Friendly, enthusiastic, welcoming, and outgoing demeanor.
- Must be able to type at least 40-60 words per minute.
- Ability to remotely work 30 minutes to 1 hour every other weekend on Saturday and Sunday.
- Proficient in clerical tasks.
- Excellent phone etiquette.
- Strong budgeting skills.
- Exceptional organizational abilities.
- Front desk management experience.
- Prior experience in office administration preferred.
- Effective schedule management skills.
- In-office position, Monday to Friday, from 7:55 AM to 5:00 PM.
