We are seeking a reliable and organized Office Assistant to join our team. The ideal candidate will support daily administrative operations, assist in scheduling and client communications, and help ensure the office runs smoothly and efficiently.
• Answer and direct phone calls and emails professionally
• Greet and assist clients, vendors, and visitors
• Schedule appointments and maintain calendars for project managers and contractors
• Prepare and manage job files, contracts, and permits
• Assist in managing project timelines and follow-ups
• Input and update client and job information in CRM or database software
• Order office supplies and maintain inventory
• Perform general office duties such as filing, data entry, and mail handling
• Support bookkeeping or invoicing processes as needed
• Coordinate with subcontractors and suppliers as directed
• High school diploma or equivalent; associate degree preferred
• Prior administrative or office experience (construction or remodeling industry a plus)
• Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with project management or CRM software is a plus
• Attention to detail and problem-solving skills
• Ability to work independently and as part of a team
