is seeking a reliable and detail-oriented

Office Assistant

to support our administrative and accounts payable functions.Â

Required

Sedentary Work- Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met. Job Function:

The Office Assistant/AP coordinates administrative functions related to the divisions. Responsibilities include:

Sales And Invoicing

- Customer invoicing-daily billing of customer shipments -Storage charge invoice billing and management

- Resolution of customer deductions and claims on a timely basis (works with sales and credit team where needed)

- Review daily invoice register for errors

- New customer account set-up (works with credit department and sales)


Accounts Payab

Le

- Manages Accounts Payable for division. Responsibilities include indexing of invoices into workflow system, communication with vendors. Works closely with Plant Manager and Corporate Accounts Payable.

- Vendor master contact – new vendors, vendor changes, etc.

- Pcard manager for division – gathers statements and matches receipts, indexes into workflow for approval.


Financial Close

- Month-end close – ensure that all month-end functions are complete and month-end "close" is completed on a timely basis.

- Division audit contact (internal and KPMG) – prepare samples, etc.


Other Duties As Needed

- Purchasing agent for office supplies, forms, etc.

- General office management – main phone and front desk contact -HR/payroll onboarding of new employees.

The Office Assistant will report to the Division Controller with dotted line reporting to Customer Service Manager and/or Plant Manager.

The Office Assistant will be in the office on-site in Decatur, AL location with some limited flexibility to work remotely. Some travel (less than 5%) is required throughout the year.

Schedule

Required Skills:

- Day shift

- 9am to 2PM

- Mon to Friday


Experience

- Microsoft Office: 1 year (Preferred)

- Administrative: 1 year (Preferred)
