We are seeking a reliable and detail-oriented Office Assistant to join our dynamic team in the oil delivery industry. This role is essential to ensuring smooth day-to-day operations, supporting both customers and field staff, and maintaining accurate records related to deliveries, billing, and inventory.
- Customer Service: Answer phone calls and emails, schedule deliveries, and resolve customer inquiries professionally and promptly.
- Order Processing: Enter and manage delivery orders in the system, coordinate with dispatchers and drivers to ensure timely service.
- Billing & Invoicing: Prepare and send invoices, process payments, and maintain accurate financial records.
- Inventory Coordination: Track fuel inventory levels, assist in ordering supplies, and reconcile delivery logs.
- Administrative Support: Maintain filing systems (digital and physical), manage office supplies, and support management with reports and documentation.
- Compliance: Ensure all documentation meets regulatory standards for fuel delivery and safety.
- High school diploma or equivalent (Associate’s degree preferred)
- 2+ years of administrative experience, preferably in logistics, delivery, or fuel services- Proficiency in Microsoft Office Suite and basic accounting software
- Excellent communication and organizational skills
- Ability to multitask and work independently in a fast-paced environment
- Familiarity with fuel delivery operations or dispatch systems is a plus
- Office-based role with standard business hours (Monday–Friday). No remote work.
