Ambient Air Systems LLC is looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Responsibilities
•Create and update records ensuring accuracy and validity of information on computer
•Maintains a thorough knowledge of the office, including the location of various files, documents, and reports.
•Responsible for keeping the office clean and organized
•Maintain files, update, edit and organize documents, both physical and electronic
•Accept and screen calls, take messages, and assist callers when possible
•Distributes memos and manager notification
•Assist with customer service inquiries and provide excellent service to customers, vendors and our technicians
•Greet office visitors in a courteous, professional manner and determine whether they should be given access to specific individuals
•Keeping inventory of office supplies and maintaining stock
•Perform basic essential bookkeeping work
•Assist with moving boxes and light inter-office moves
•Coordinate and/or assist with event planning tasks
•Utilize QuickBooks to assist with tracking expenses and inputting receipts
•Other administrative responsibilities as requested
Skills
•Working knowledge of office equipment such as computers, printers, scanners and phone systems.
•Excellent organizational and time management skills; multitask
•Excellent written and verbal communication skills
