OFFICE ADMINISTRATOR

The Office Administrator will be responsible for managing our front desk and will perform a variety of administrative and clerical tasks to assist our operations group. The position includes greeting of all visitors, handling all calls and assisting operations with employee logistics and other administrative tasks as required.

Job description
Key Responsibilities:
•Answer and direct incoming phone calls in a professional manner.
•Greet and assist visitors and clients, ensuring a welcoming office environment.
•Manage incoming and outgoing mail, including sorting and distribution.
•Arrange and book travel/accommodations for operations personnel as needed.
•Draft and distribute communications to field personnel regarding project assignments and training requirements; liaising with Project Managers to ensure timely communications.
•Provide general administrative support including document preparation and data entry, maintaining accurate and up-to-date records.
•Assist Operations with timecard and hours reporting to Finance team.
•Maintain organized filing systems for both physical and digital documents.
•Book appointments and manage calendars for internal meetings and events.
•Coordinate and support the onboarding process for new employees, including preparing paperwork and setting up workstations, tracking attendance and documentation.
Qualifications:
•Grade 12 diploma/ Community College diploma
•1 year of general office experience
•Reception experience would be considered an asset
•Proficient with Excel (advanced knowledge)
•Demonstrated professionalism
•Proven interpersonal/communication skills
•Excellent computer skills for administrative support
•Strong attention to detail
•Good decision-making skills
•Ability to work with minimal supervision
Schedule: Monday – Friday, 8 hours per day 7:30 am - 4:00pm
Job Type: Full-time
Pay: $22.00 per hour
Expected hours: 40 per week
