Job Summary:
We are seeking a detail-oriented and organized Invoicing Specialist to join our growing office team! The ideal candidate will be responsible for managing the invoicing process, ensuring accuracy and timeliness of billing, and maintaining strong relationships with internal teams and clients. This role plays a critical part in the company’s cash flow and client satisfaction.
Key Responsibilities:
•Generate and distribute accurate and timely customer invoices based on contracts, purchase orders, or service records.
•Review and verify billing data, including rates, hours, and materials, for accuracy and completeness.
•High volume service invoicing, including Purchasing / Receiving and uploading information into customer portals.
•Monitor accounts receivable and follow up with clients on outstanding invoices.
•Collaborate with sales, project management, and customer service teams to resolve billing discrepancies or disputes.
•Ensure compliance with company policies, procedures, and relevant tax regulations.
•Prepare periodic reports related to invoicing, revenue, and receivables.
•Assist in month-end closing processes and audits as required.
•Suggest improvements to invoicing procedures to increase efficiency and accuracy.
Qualifications:
•High school diploma or equivalent required
•2+ years of experience in billing, invoicing, or data entry positions desired.
•Proficiency in Microsoft Office and ability to learn new computer systems.
•Must be able to type at least 40 WPM.
•Excellent attention to detail and organizational skills.
•Strong communication and interpersonal abilities.
•Ability to handle sensitive information with discretion and integrity.
•Comfortable working in a fast-paced, deadline-driven environment.
