We are seeking a highly organized, detail-oriented Centralized Quoting Specialist to serve as the operational anchor for our quoting process across all business units. This newly created position is designed to streamline customer response times, improve quote quality, and enhance cross-functional collaboration between Sales, Inside Sales, and Operations.
The ideal candidate will develop, implement, and own the quote coordination process from initial request to submittal, ensuring accuracy, alignment with pricing strategies, and timely delivery. This role is critical in driving consistency, visibility, and efficiency within our quote-to-order lifecycle.
- Serve as the centralized point of contact for all incoming RFQs (Requests for Quotation) across assigned territories or business units.
- Coordinate with Account Managers, Inside Sales, and Operations to gather necessary scope, technical inputs, and pricing data.
- Prepare and submit customer-facing quotations in alignment with company guidelines and turnaround expectations.
- Monitor and manage the quote log, ensuring each opportunity is tracked and updated throughout its lifecycle.
- Schedule and facilitate pre-quote strategy sessions for strategic, complex or high-value opportunities.
- Standardize documentation and format across quotes to reflect professional, brand-consistent communication.
- Identify bottlenecks in the quoting process and propose solutions to improve responsiveness and conversion rates.
- Lead monthly reporting and analytics related to RFQs and quoting performance, providing actionable insights that support strategic sales initiatives and top-line growth.
- Maintain data accuracy within CRM or designated quote tracking systems.
- Perform other related duties and cross-functional support tasks as needed to meet evolving business demands and contribute to broader team objectives.
-Support the development and possible future oversight of quoting team members as the quoting function scales.
- 3+ years of experience in quoting, inside sales, customer service, or operations in an industrial, manufacturing, or service-based environment.
- Proficiency with Microsoft Excel, Outlook, and Teams.
- Ability to manage competing priorities in a fast-paced environment.
- High attention to detail and organizational rigor.
- Familiarity with valve, repair, or industrial service operations.
- Demonstrated ability to collaborate effectively across departments and customer-facing teams.
