Under general direction, provides advanced and complex administrative support functions for an executive member of management. Supports BPUB management in providing technical oversight and leadership, coordination of work assignments, training, guidance, and evaluation to all administrative personnel
Executes difficult administrative work for executive management and the Board of Directors, including scheduling appointments, maintaining calendars, arranging business itineraries, and coordinating travel. Works independently in giving information, resolving complaints, and performing other public contact work. Maintains files and records; processes correspondence and documents; delegates and/or handles matters to delegated authority. Prepares and distributes agendas for board meetings and organizes meeting facilities. Serves as the administrator for the agenda management software. Attends meetings after standard work hours and provides support during lunch hour coverage for executive management. Completes other job duties assigned.
Thorough knowledge of office practices and procedures. Thorough knowledge of business English, English grammar, spelling and punctuation. Thorough knowledge of the operations, functions, and scope of authority of the utility department and offices as related to the handling and disposition of complaints, requests for information and delegated administrative details. Knowledge of budgeting and purchasing principles. Knowledge of supervisory and managerial techniques and principles. Strong oral and written communication skills in English; bilingual in English and Spanish preferred. Computer skills with Microsoft Office programs. Skill in handling multiple tasks and prioritizing. Skill in data analysis and problem solving. Skill in planning, organizing, and coordinating the efforts of several departments and/or functions. Initiative and good judgement skills to act on matters requiring attention. Uses initiative to prepare effective correspondence and office management details on routine matters. Ability to work under extreme time constraints. Ability to make decisions in accordance with laws, ordinances, regulations, and policies and procedures. Ability to prepare effective correspondence on routine matters and to perform routine office management details. Ability to maintain effective working relationships with other employees and the general public. Ability to understand and follow complex oral and written directions. Ability to maintain records and prepare reports from sources.
Bachelor’s degree in business, office administration, or a related field and two (2) years of responsible experience in an administrative support function. A combination of appropriate education and experience may substitute for the minimum requirements.
Must hold an active commission as a Notary Public in the state of Texas.
