Key Responsibilities
Executive Management Support:
•Manage the executive’s calendar, prioritizing high-impact items.
•Handle email correspondence, including drafting responses on behalf of leadership.
•Coordinate travel logistics to ensure seamless execution of plans.
•Support the executive in overseeing high-level initiatives, priorities, and goals.
Meeting and Project Management:
•Prepare agendas, attend key meetings, and track action items to completion.
•Oversee progress on projects, ensuring deliverables are met on time.
•Manage dashboards and update key result data for scheduled MSR meetings.
•Plan and organize internal events, strategic sessions, and team meetings.
Recruitment and Team Coordination:
•Coordinate interview logistics, schedules, and follow-ups for recruitment.
•Build and manage employment agreements with departmental guidance.
•Oversee the candidate pipeline and recruitment promotional strategies.
•Facilitate communication and collaboration across the team.
Policy and Communication Oversight:
•Assist in the development of internal policies, procedures, and systems.
•Review and finalize important communication items for accuracy and professionalism.
•Maintain strong relationships with team members and strategic partners.
What You’ll Achieve
In the First 30 Days:
•Gain a thorough understanding of our team, culture, and current projects.
•Familiarize yourself with strategic plans, priorities, and tools.
•Build strong working relationships with leadership and team members.
•Develop proficiency in managing the executive's calendar, prioritizing high-impact meetings and deadlines.
•Master the creation of meeting agendas and management of follow-up tasks to ensure effective communication and execution.
•Learn the process of drafting and maintaining employment agreements and contracts.
•Actively participate in weekly team meetings to understand operational goals and current priorities.
•Begin assisting with travel arrangements and logistics for the executive team.
•Build strong relationships by participating in company-wide social events and informal gatherings.
In the First 60 Days:
•Take ownership of calendar management, meeting efficiency, and daily operations.
•Assist in recruitment processes and employment agreement management.
•Begin oversight of active project deliverables and priorities.
•Demonstrate competence in facilitating meetings, including detailed note-taking and tracking action items to ensure accountability.
•Take an active role in recruitment efforts by coordinating interviews and managing employment pipelines.
•Strengthen communication strategies to effectively manage relationships with strategic partners and stakeholders.
•Fully assume responsibility for monitoring task deadlines and ensuring timely deliverables from team members.
In the First 90 Days:
•Independently manage executive schedules, projects, and reporting.
•Improve processes and communication systems for increased efficiency.
•Become the trusted, go-to resource for leadership and team members.
•Fully integrate into the Executive Assistant Resource Guide, showcasing mastery of all key responsibilities and processes.
•Successfully manage and oversee high-level initiatives, ensuring alignment with strategic goals and timely execution.
•Complete a comprehensive 90-day performance review to evaluate progress, identify areas for further development, and establish actionable objectives for the upcoming year.
Qualifications
•Minimum of 3 years of executive or administrative assistant experience.
•Strong project management and organizational skills.
•Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and task management tools.
•Exceptional communication and interpersonal skills.
•Ability to maintain confidentiality and handle sensitive matters with professionalism.

$55,000/year salary + bonus potential ($5,000 annually).
