Position Summary:
We are seeking a highly organized and professional Executive Assistant to support our President and General Counsel while also acting as a Receptionist and Office Manager for our office. The ideal candidate will have a strong background in administrative support and demonstrate excellent interpersonal, communication, and problem-solving skills. As the first point of contact for clients and guests, the successful candidate will play a crucial role in representing the company and maintaining a welcoming and efficient office environment.
Key Responsibilities:
Executive Assistant:
•Provide comprehensive administrative support to the President and General Counsel, including scheduling meetings, maintaining calendars, and coordinating travel arrangements
•Prepare correspondence, presentations, and reports on behalf of the President and General Counsel, ensuring accuracy and timely delivery
•Manage and prioritize incoming requests, calls, and emails, handling confidential information with discretion
•Attend meetings, take accurate minutes, and follow up on action items as required
Receptionist:
•Greet clients, guests, and vendors, providing a welcoming and professional environment
•Answer incoming calls and direct them to the appropriate party
•Coordinate and schedule conference room bookings and maintain visitor logs
•Ensure the reception area is clean, organized, and well-stocked with necessary materials
Office Manager:
•Oversee day-to-day office operations and support administrative tasks, such as filing, data entry, and ordering supplies
•Manage and maintain office equipment, liaising with IT support and vendors as needed
•Assist in the planning and execution of company events and meetings
•Coordinate and communicate office policies and procedures to staff
Qualifications:
•Bachelor's degree or equivalent work experience in a relevant field
•Minimum 3 years of experience in an administrative role supporting executive-level management
•Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
•Exceptional written and verbal communication skills
•Excellent interpersonal and customer service skills, with the ability to work effectively with diverse groups of people
•Outstanding organizational skills and attention to detail
•Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment
•Discretion in handling confidential and sensitive information
•Prior experience in the renewable energy or solar industry is a plus
