Executive Assistant – Leasing Coordination & Design Support
Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide direct administrative support to our Leasing and Design teams. This role is essential in helping streamline communications, manage schedules, coordinate projects, and ensure seamless day-to-day operations within our fast-paced construction environment. The ideal candidate will thrive in a team-oriented setting, demonstrate strong interpersonal skills, and have a keen eye for organization and design.
Key Responsibilities:
•Serve as a liaison between the leasing, design, and construction teams, supporting daily operations and communications.
•Manage calendars, coordinate meetings, and schedule site visits for team members.
•Organize leasing documents, contracts, proposals, and design presentations.
•Maintain organized records of project timelines, design selections, vendor communications, and lease agreements.
•Support project and design coordination, including product procurement, and vendor research.
•Assist with leasing management system updates and prospect follow-up communication for leasing inquiries.
•Handle administrative tasks such as meeting minutes, data entry, and supply ordering.
•Assist in developing and edit internal and external communications and revision.
•Coordinate design installations for new homes, model units and community showcases.
•Support special events, customer walk-ins, or open houses with logistics and preparation.
Qualifications:
•College education is preferred
•Strong organizational and time-management skills with the ability to multitask across teams.
•Excellent written and verbal communication skills.
•Proficiency in Microsoft Office Suite.
•Familiarity with leasing management platforms is a plus.
•High level of discretion and professionalism in handling confidential information.
•A proactive mindset, with a flexible, can-do attitude and team-first approach.
