We’re seeking a proactive, resourceful, and organized Executive Assistant to support our leadership team in a high-energy, fast-paced environment. This role is critical to keeping key initiatives on track by managing day-to-day tasks and streamlining communication and scheduling for executives.
Position Summary
The ideal candidate is a highly organized self-starter with excellent communication skills and a strong sense of initiative. You’ll act as a key support partner to the leadership team, helping prioritize and execute critical tasks, manage communications, and ensure the team can focus on strategic goals without losing sight of operational needs.
Key Responsibilities
•Inbox & Communication Management
+ Monitor and manage executive email inboxes; flag, prioritize, and occasionally draft responses.
+ Act as a gatekeeper, triaging inbound communication and determining urgency.
Set expectations with internal and external contacts about response timelines.
•Calendar & Task Coordination
+ Manage the CEO’s calendar, ensuring awareness of priorities and upcoming commitments.
+ Help redirect urgent but non-essential issues to appropriate team members.
Organize meetings, calls, and events with clear agendas and follow-ups.
•Document & Workflow Support
+ Ensure executives are reviewing and acting on the most current versions of all documents.
+ Assist in document consolidation and version control across teams.
Familiarity with Google Workspace and Microsoft Office tools is required (Excel, Word, Gmail/Outlook; bonus if proficient in PowerPoint).
+ Assist with basic administrative errands (dry cleaning, post office, etc.) occasionally, coordinating with other staff where appropriate
Support fleet logistics, including car swaps and emergency fleet needs, using a company vehicle.
+ Serve as a first point of contact for internal team escalations.
+ Follow up on outstanding action items and keep leadership informed of progress.
+ Represent leadership in managing time-sensitive issues and ensuring follow-through.
Required Qualifications
•3+ years of experience in an administrative or executive support role.
•Strong written and verbal communication skills.
Exceptional organizational and prioritization abilities.
•Comfortable operating in a fast-paced, dynamic work environment.
•Ability to type quickly and accurately (no "hunt and peck").
•Must have a clean driving record; valid driver's license required.
•Willingness to work flexible hours on occasion based on executive availability (e.g., shifting to a noon–8 PM schedule as needed with notice).
Preferred Qualifications (similar experience acceptable)
•Experience with CRM or project/job management software.
•Background in a startup or high-growth business environment.
•Proven ability to anticipate needs and take initiative without micromanagement.
Physical Requirements:
•While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
•Specific vision abilities required by this job include close vision requirements due to computer work.
•Ability to operating a vehicle.
•Light to moderate lifting may be required.
