Position Description:

Our people division is growing, and we are looking for a Records Administrator to join our Legal Team. The successful candidate will ensure that accurate records are kept and can be accessed when they are needed. The Records Administrator will prepare files for archiving and handle the digitization of physical records in a facility.

Responsibilities:

- Maintaining a records management system

- Performing data entry tasks

- Updating existing records

- Maintaining company archives

- Retrieving information from the filing system when requested

- Maintaining up-to-date logs, including information about file changes or who has access

- Scanning and uploading files to create digital copies of physical records

- Processing and file copies of incoming and outgoing physical correspondence

- Conducting routine verification to ensure integrity of the filing system

- Assisting with the organization and disposal of outdated records in compliance with company policies

- Training and assisting staff members in proper record-keeping procedures

- Collaborating with legal team to ensure proper application of legal holds on relevant records

- This role will involve handling company records that display signs of aging, potential dust accumulation, and critical preservation needs, requiring care and attention

And other duties as assigned


Qualifications:

- Degree in Business or related field preferred

- Previous work experience as legal or executive assistant is preferred

- Executive/administrative assistant experience or equivalent combination of training and experience are preferred

- Excellent written and verbal communication skills required

- Attention to detail required

- Advanced knowledge of office equipment preferred

- Office professionalism required

- Ability to lift up to 50 lbs required

- Proficiency in reading cursive is required

- Proficiency in using Adobe Pro and Microsoft products is preferred
