Property Pros is seeking a highly organized and detail-oriented bilingual Administrative Assistant to support our property management team. The ideal candidate will be fluent in both English and Spanish will possess strong administrative and communication skills. You will play a key role in supporting day-to-day operations, providing excellent customer service, and managing property-related tasks.
- Answer phone calls, respond to emails, and provide general administrative support.
- Manage and maintain property management files, ensuring all records are up-to-date and organize.
- Prepare and proofread documents, letters, reports, and presentations.
- Schedule meetings, property showings, and appointments, coordinating between tenants, vendors, and staff.
- Act as a point of contact for tenants and prospective tenants, addressing inquiries, concerns, and issues in both English and [Insert Second Language].
- Assist with lease agreements, rental applications, and move-in/move-out procedures.
- Coordinate property inspections and maintenance requests, ensuring timely follow-up.
- Translate communications, documents, and contracts between English and Spanish as needed.
- Communicate effectively with non-English-speaking tenants and vendors.
- Foster positive relationships with tenants, vendors, and the property management team.
- Maintain and update tenant information in property management software.
- Track and process payments, invoices, and maintenance work orders.
- Assist with the preparation of monthly/quarterly reports.
- Assist with marketing and advertising of properties.
- Coordinate with contractors and vendors for maintenance and repairs.
- Perform other duties as assigned by the property management team.
Language Skills: Must be fluent in both English and Spanish
Education: High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
- Previous experience in administrative support or property management is a plus.
- Experience working in a bilingual environment is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge of property management software (e.g., Buildium,Yardi, AppFolio, etc.) is a plus.
- Strong organizational and multitasking skills with an attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Full-time position with a regular work schedule 8 AM- 5 PM
