The Bid Coordinator plays a pivotal role in overseeing the administrative, procedural, and compliance-related aspects of bid submissions. This position is responsible for ensuring that all bid packages are thoroughly completed, fully accurate, compliant with all requirements, and submitted within established deadlines. The Bid Coordinator works collaboratively with estimators, project managers, and company leadership to compile proposal documents, monitor deadlines, and uphold all owner and agency submission requirements.
· Identify and monitor bidding opportunities across both public and private procurement platforms, ensuring that all potential projects are tracked effectively.
· Carefully review bid instructions and develop comprehensive checklists to guide the bid submission process.
· Coordinate the gathering of all necessary documents for bid packages, including:
· Relevant certifications (such as MWBE, SDVOB, where applicable)
Assemble, format, and meticulously proofread complete bid packages to ensure they meet all specified requirements.
Ensure strict compliance with submission formats, delivery methods, and all bid deadlines.
Manage electronic bid submissions utilizing platforms such as Bonfire, Building Connected, Procore, BidNet, or similar systems.
Maintain an organized bid calendar, a robust document control system, and accurate historical bid records.
Support post-bid activities, including managing clarifications, tracking addenda, and handling award documentation.
Serve as the main point of contact for all administrative communications related to bids.
· 3–7 years of experience in construction bidding, proposal coordination, or contract administration.
· Strong knowledge of bid compliance and submission requirements, with a particular focus on public-sector work.
· Exceptional attention to detail and advanced document management skills.
· Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, as well as PDF editing software.
· Ability to manage multiple bids at the same time, often under tight deadlines.
· Experience handling public agency bids and navigating formal procurement processes.
· Familiarity with construction-specific terminology and contract documentation.
· Background in coordinating bid bonds and managing insurance requirements.
