Position Summary
We are seeking a motivated and detail-oriented Administrative Coordinator to help lead and manage OnSite Energy’s office and administrative operations. This position is perfect for someone with a background in construction or the trades, who thrives in both autonomous and collaborative environments, and who is looking for meaningful work in the clean energy industry.
The Administrative Coordinator will be a central hub of our company’s operations, supporting multiple departments—from accounting and HR to sales and service. Key Responsibilities
+ Monitor and optimize phone and internet services; maintain adaptive phone tree for staff availability and variable schedules
+ Oversee business license renewals, industry memberships, and subscriptions
+ Receive and distribute USPS mail
+ Maintain office supply levels and coordinate procurement
+ Support the Accounting Manager as needed on data management tasks,
including:
- Accounts payable and receivable, expense reports, credit card and bank reconciliations, updating vendor and customer records
- Payroll support
- Internal financial reporting
•Customer Reception & Intake
+ Answer phones and monitor general company email
+ Qualify and assign new leads, and create service tickets for existing customers
+ Log information in customer relationship management (CRM) software
+ Assist with collecting subcontractor packets from vendors and subcontractors
+ Coordinate with insurance providers, government agencies, and local jurisdictions to meet
project and contractual requirements
•Human Resources Administration
+ Serve as a liason between OnSite Energy and our employee benefits providers
- Submit and document employee enrollment changes
+ Support onboarding and offboarding of employees
+ Administer wage and withholding updates
+ Upload and manage employee documents in HR software
+ Serve as liaison between OnSite Energy and our insurance carriers
+ Facilitate workers comp and general liability reporting, payroll audits, and exposure estimates
+ Coordinate insurance renewals and communicate policies to employees
+ Maintain current staff and vehicle records with carriers
What We're Looking For
•Previous experience in administration, operations, or office management
•Familiarity with the construction or solar industries strongly preferred
•Excellent organizational and communication skills
•Tech-savvy and comfortable with tools like Google Workspace, Excel, and CRM/HR software
+ Prior experience with BambooHR software strongly preferred
•Highly self-motivated, detail-oriented, and proactive
•Excited to contribute ideas and help improve internal systems and processes
