We pride ourselves on integrity, precision, and client-centered service. We’re looking for a motivated and detail-oriented Administrative Coordinator to support our Land and Management teams.
The Administrative Specialist-Land Technician is responsible for supporting Landmen and Management with contract preparation, document processing, data entry, and day-to-day administrative operations. This role is ideal for someone who thrives in a fast-paced environment and values accuracy, communication, and organization.
- Assist Landmen with preparing and processing contracts, leases, assignments, agreements, reports, and spreadsheets
- Maintain and update internal databases, spreadsheets, and filing systems
- Review and route correspondence, invoices, and documents for approval
- Assist with basic bookkeeping tasks, including processing expense reports and supporting month-end reporting
- Coordinate meetings, office events, and logistics (e.g., catering, scheduling)
- Greet visitors and manage incoming and outgoing mail and packages
- Order office supplies and track inventory levels
- Assist with travel arrangements and accommodations for staff
- Perform general administrative tasks such as scanning, printing, data entry, and equipment support
- Maintain confidentiality of all sensitive and proprietary company information
- Provide general support to all staff as needed
- Take initiative on special projects and additional responsibilities as assigned- 3+ years of administrative experience preferred
- Industry experience in land, energy, legal, or real estate preferred
- High School Diploma required; Associate’s or Bachelor’s degree preferred
- Strong verbal and written communication skills
- Excellent time management, organization, and attention to detail
- Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Drive)
- Ability to manage multiple tasks and deadlines independently
- Experience handling confidential information with discretion
- Self-starter with a positive, professional attitude
- Ability to sit or stand for extended periods
- Use of hands for typing, writing, and operating standard office equipment
- Ability to lift up to 20 lbs (e.g., files, supplies)
