This is a full-time position with working hours from 8 am to 5 pm Monday-Friday.

The Administrative Specialist will be responsible for the following actions/tasks:
- Process project ticket data into the accounting database for payroll, accounts receivable and per diem networks
- Assist Accounts Receivable and Payroll departments with researching and correcting discrepancies related to job tickets, time entries, and billing data
- Update and maintain weekly non-billable time reports and submit to management
- Assist operations with coding non-billable time to the appropriate job number
- Lead in the communication of improving any project ticket errors
- Assist with client purchase order tracking by comparing field utilization receipts
- Handle day to day request for OQ and TQ requirements
- Assist with the onboarding and orientations of personnel
- Receive and dispatch customer and employee communication to the divisional manager(s)
- Update online job board and send daily schedule out each day before close of business
- Provide a professional, respectful and inspirational image of NVI to the public
- Receive and welcome visitors and employees to the appropriate management representatives of the division
- Assist with any support efforts of the division to reach continuous improvement goals
- High school diploma or G.E.D.
- Valid U.S. driver’s license and ability to pass a Motor Vehicle Record (MVR) evaluation
- Ability to successfully complete a background check
- Compliance with drug and alcohol testing policies and procedures
- Degree from an accredited university
- Previous experience in a similar occupation or role
- Strong communication and organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
