Responsible for providing proactive, high-level support for assigned Executive staff, serving as a key liaison to internal and external stakeholders. Ensures efficient communication, time management, and project coordination, upholding professionalism, and discretion. Support includes, but is not limited to, processing expenses, coordinating travel, meeting and event planning, scheduling meetings and conferences, preparing items for monthly Board meetings, assisting assigned executive team members with managing processes and deadlines, report writing and distribution, review and submittal of contract requisitions, and working on special projects. Assist with drafting and editing board resolutions and decision papers and evaluating them for accuracy and consistency. Supports and provides backup to other executive coordinators and assists Board members as needed.

- Lead and support event and project management initiatives, including planning, coordinating resources, overseeing timelines, and ensuring successful execution of key organizational events and projects for assigned executive staff.
- Serve as professional point of contact for stakeholders and foster collaborative relationships across the organization.
- Organize meetings and events, prepare agendas and materials, record minutes, and track action items.
- Prepare, organize, and maintain confidential documents, reports, and records; compile research and data as needed.
- Assist with drafting and editing board resolutions and decision papers and evaluating them for accuracy and consistency. Collaborate with the leadership team and Legal department to ensure accuracy of documents.
- Provide general administrative support for assigned Senior Vice Presidents including travel coordination, document preparation and distribution, receiving and screening calls and visitors, scheduling meetings, and appointments, receiving, reviewing, and routing mail, and budget preparation, analysis and entry as needed.
- Provide Notary Public services to Board of Directors and Executive Staff as needed.
- Develop, maintain, and administer SharePoint sites.
- Plan and support ongoing meetings, including monthly board of directors’ meetings, Member CEO Meetings, Member Advisory Council meetings, Member Orientation Programs, and other meetings that arise.
- Prepare contract requisitions, maintain purchasing records to include purchasing cards, and maintain office supplies.
- Assist in coordinating work and providing backup with other Executive Coordinators
- Maintain compliance with all company policies and procedures and attain knowledge and remain knowledgeable of regulations, laws, standards, and best practices applicable to functional area.
- Because Tri-State has an obligation to provide continuous, reliable electric service to its customers, the ability to work overtime at any time of the day or week is considered an essential function of the job.
- Bachelor’s degree in business administration, Communication, or related field or equivalent education and experience preferred.

- Excellent communication skills, both oral and written.
- Three (3) to five (5) years’ experience supporting senior leadership in similar role preferred.
- Must possess and maintain current Notary Public Certification or have the ability to obtain, which must be done within six months of date of hire.
- Business travel is required.
- Must be able to demonstrate that he or she can perform all of the essential functions of the position.
- Additional related college level education.
