The Administrative Assistant plays a key role in supporting daily office operations, billing processes, and general administrative functions for A-1 Balor & Compactors. This position ensures accurate recordkeeping, timely processing of documents, and reliable support to the owners and field employees.
- Enter employee can-count data and container traffic ticket information into Excel spreadsheets for inventory and billing purposes.
- Scan, file, and organize traffic tickets, production reports, billing reports, and other business documents, maintaining year-by-year filing systems for easy retrieval.
- Track and input receipts into Excel to support expense management.
- Manage and maintain timecards for all employees.
- Prepare, scan, and fax documents as needed.
- Verify that all container traffic tickets and production reports are accurately entered and filed to support weekly and monthly billing cycles.
- Run expense reports and assist with compiling financial documentation.
- Ensure employees have the necessary welding supplies by tracking and coordinating inventory needs.
- Provide administrative support to the company owners, including handling personal errands when requested.
- Make bank deposits and complete other banking-related tasks.
- Perform regular post office runs for mailing needs.
- Deliver weekly payroll to employees in the field or office.
- High School Diploma or equivalent.
- 1–2 years of billing, accounts payable, or related administrative experience.
- Intermediate proficiency in Microsoft Excel, including data entry, sorting/filtering, and basic formulas.
- Excellent analytical, problem-solving, and time management abilities.
- Strong attention to detail and organizational skills.
- Strong written and verbal communication skills; able to collaborate effectively across teams.
