The Development Administrative Assistant has the responsibility of supporting the Development Team in various daily administrative tasks while maintaining an open line of communication and availability as a direct report and assistant to the President of Development (“POD”). The Development Administrative Assistant is a key role within the Development Team and 7B Building and Development organization. Various team members within and without the Development Team rely on the quality of communication and work performed by the Development Administrative Assistant.
● Scanning documents into a paperless and cloud based document system.
● Maintain, organize, and distribute electronic and physical files, records, original documents
● Obtain e-signatures, physical signatures, and notary acknowledgements for various Development documents from individuals within the Organization
● Interface with Accounting for processing payment of invoices and permit / application / impact fees
● Obtain proper approval of invoices / proposals per company policies and procedures.
● Collect and review all Upper Management Reports for accuracy and completion
● Provides VP and POD with Department wide Status reports filled in by PM’s
● Assists VP and POD with scheduling of department meetings & travel, meeting minutes and clerical tasks
● Daily report of actionable items from the Development Team for the VP and POD to execute upon
● Coordinating handoffs and deliverables for other departments within the organization
● Manage and complete all projects as assigned.
● Maintains immaculate records and attention to detail.
● Need to possess strong verbal and written communications
skills and be capable of working in a fast-paced environment.
● Must be highly collaborative and able to work across multiple functional areas.
● Work within various software programs, including but not limited to: Smartsheet, Google Office Applications, and BuilderTrend
