The Accounting & Administrative Specialist is responsible for managing all aspects of payroll, accounts payable (AP), accounts receivable (AR), and financial recordkeeping. This position requires strong organizational skills, attention to detail, and the ability to work independently under pressure while maintaining accuracy. In addition to accounting duties, this role supports human resources functions, including new hire processing and onboarding.
- Payroll & HR
- Process payroll through ADP, ensuring accuracy and compliance with state and federal regulations.
- Manage employee time records, job costing, and payroll allocations.
- Handle new hire paperwork, including tax forms, direct deposit, benefits enrollment, and employment eligibility verification (I-9).
- Coordinate interviews, scheduling, and candidate communication.
- Facilitate new employee onboarding and orientation.
- Accounting & Finance
- Manage accounts payable and receivable; process invoices and payments.
- Track and reconcile expenses by customer and job.
- Maintain general ledger and support month-end and year-end close.
- Prepare journal entries, including payroll, insurance, and other recurring adjustments.
- Assist with financial reporting, forecasting, and budget preparation.
- Administrative Support
- Assist with vendor and client communications.
- Provide support in filing, recordkeeping, and compliance documentation.
- Perform general administrative tasks as needed to support business operations.
- Proven experience with
ADP payroll systems
.
- Proficiency in
QuickBooks
and
Microsoft Excel
.
- Strong computer knowledge, including Microsoft Office (Word, Outlook, Teams) and ability to learn new software quickly.
- Experience in accounts payable, accounts receivable, and general bookkeeping.
- Strong organizational skills and ability to multitask in a high-paced environment.
- Ability to handle confidential information with discretion.
- Flexibility to assist across multiple departments as needed.
