Job Summary: The Accounting and Administrative Coordinator is a pivotal role responsible for a comprehensive range of financial and administrative duties. This position ensures the smooth operation of daily business functions by managing accounts payable, handling banking activities, supporting human resources processes, and overseeing various administrative tasks. The ideal candidate will be highly organized, detail-oriented, and proficient in QuickBooks, with a strong ability to multitask and prioritize effectively.
- Process and manage all accounts payable invoices, ensuring timely and accurate payments.
- Reconcile vendor statements and resolve discrepancies.
- Maintain vendor files and payment records.
- Prepare and make all banking deposits.
- Perform accurate and timely bank reconciliations for all accounts.
- Monitor cash flow and assist with financial reporting as needed.
- Administer and reconcile employee credit card accounts.
- Ensure compliance with company expense policies.
- Provide general administrative support to the team, including organizing documents and maintaining records.
- Manage DMV registrations for company vehicles.
- Handle various insurance-related tasks (e.g., maintaining records, liaising with brokers).
- Utilize QuickBooks for all accounting functions, including data entry, report generation, and general ledger maintenance.
- Assist with the onboarding process for new employees, including paperwork and initial setup.
- Administer and communicate health insurance benefits information to employees.
- Process and manage "sub checks" (assuming this refers to supplemental payments or similar payroll adjustments).
- Proven experience in an accounting or administrative support role.
- Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
