The Senior Accounting Specialist plays a critical role in overseeing the financial operations of the organization, with a strong focus on accuracy, compliance, and timeliness. This role is responsible for managing high-level accounting functions including accounts payable, general ledger maintenance, bank reconciliations, sales tax reporting, budget tracking, daily cash management, and the preparation of internal financial statements. This position requires a deep understanding of industry-specific accounting practices and a commitment to upholding the company’s financial integrity.
- Accounts Payable & Vendor Management
- Oversee and review AP processing, ensuring accurate coding, proper authorization, and timely disbursement of payments.
- Maintain positive relationships with key vendors and resolve complex invoice discrepancies.
- General Ledger & Financial Reporting
- Maintain the general ledger and ensure accurate posting of journal entries.
- Perform monthly and quarterly account reconciliations.
- Prepare and analyze internal financial reports, highlighting key trends and variances.
- Assist with year-end closing and external audit preparation.
- Bank Reconciliation & Cash Management
- Reconcile multiple bank accounts on a regular basis.
- Monitor and forecast daily cash positions to support operational needs.
- Manage daily deposits and ensure proper internal controls.
- Budget Monitoring & Support
- Support the budgeting process by providing actuals-to-budget comparisons and variance analysis.
- Assist in developing department-level budget tools and templates.
- Sales Tax Compliance
- Prepare and file monthly, quarterly, and annual sales and use tax returns in multiple jurisdictions.
- Monitor changes in state and local tax laws applicable to propane sales and services.
- Ensure tax compliance and documentation for internal and external audits.
- Excel & Analytical Reporting
- Create and maintain advanced Excel models for financial tracking, forecasting, and trend analysis.
- Provide support for business decisions through financial modeling and reporting.
- Degree in accounting, Finance, or a related field and/or
- Minimum 5 years of progressive accounting experience
- Proficiency with accounting software
- Advanced Microsoft Excel skills (pivot tables, V-lookups, financial formulas)
- Strong analytical, organizational, and communication skills
- Ability to manage multiple priorities, meet deadlines, and work independently.
- Experience working with fuel tax, excise taxes, or DOT-related reporting (a plus)
- Prior experience in a privately held or multi-location operation
- Office-based role with regular business hours (Monday–Friday)
