Position Overview
The Accounting & Administrative Assistant will support both finance and front‑office operations. This hybrid role involves bookkeeping, data entry, reception duties, and administrative coordination. It’s ideal for a detail-oriented individual eager to contribute to operational efficiency within a safety-focused organization.
Key Responsibilities
Accounting & Financial Administration
•Maintain project files, expense tracking (Hubdoc), and timesheets
•Assist in preparing monthly client statistics and submissions
•Support bookkeeping processes with Xero and Hubdoc
•Manage vehicle mileage logs and maintenance reminders
•Process mail and courier shipments
Reception & Administrative Support
•Present a welcoming, professional front-desk presence
•Answer and redirect incoming calls, manage visitor sign-in/security
•Maintain front-office organization and cleanliness
•Schedule meetings and appointments; assist with Microsoft Office, Monday.com, SiteDocs, and 1Life
Communications & Social Media
•Draft, design, and publish content on Instagram, LinkedIn, and Facebook using Canva
•Ensure brand consistency and a professional tone across all platforms
Qualifications
•Previous experience in reception, office administration, or bookkeeping
•Strong proficiency in Microsoft Office, Xero, Hubdoc, and Monday.com
•Experience with Canva or similar social-media tools
•Excellent organizational, time‑management, and communication skills
•Reliable, punctual, and detail-focused
Assets (But Not Required)
•Experience with online Safety Registries like ISNet World, Complyworks, and SiteDocs, or WCB regulations (Alberta/Saskatchewan)
•Exposure to social-media scheduling tools and content strategies
