Reporting to the Construction Manager, the role of the Site Administrator is to perform a wide range of administrative and office support activities on a project site to help facilitate efficient execution of the project.
The responsibilities include, but may not be limited to:
- Ensure all crew members and visitors are recorded on the daily sign-in sheet and counts are distributed as required.
- Review and correct all inspection sheets and safety documents. Scan and file all paperwork.
- Distribute Plan of the Day documents including updates.
- Prepare, and distribute look ahead schedules and updates including on-site personnel on site, daily activities, weather and pictures).
- Print safety documents and timesheet forms on a daily basis.
- Ensure documentation is returned with notes, employee counts, LOA, and equipment information.
- Maintain crew attendance reports for weekly safety meeting.
- Maintain daily quality control from field activities and ensure QC forms, quantifying pictures, and UTM Coordinates are provided to QC as per Inspection and Test Plan.
- Update the Inspection Test Plan (ITP) as Field Quality Control Forms are completed, scanned, and filed within QC Binders.
- Assist in capturing and maintaining Data Books and Operation and Maintenance Manuals (O&M).
- Ensure officer trailer is kept organized and tidy.
- Check and update all equipment, trucks and test equipment on site. Maintain records including unit identification number, wash log, and calibration certificates of all equipment coming to and leaving the project site.
- Ensure proof of project Alcohol & Drug policy compliance, training certificates and safety tickets for each crew member is available.
- Maintain office supply inventories, distribute incoming correspondence and coordinate maintenance of office equipment.
This position is designated as safety-sensitive making employment contingent upon the successful completion of pre-employment drug and alcohol testing, as well as criminal and general background checks.
Project schedule will require 48 hours per week. Monday – Thursday 10 hour days, Friday 8 hour day
- High School Diploma is required
- Minimum of 2 years experience in an administrative role
- Proficiency in all Microsoft Office applications
- Knowledge of operation of standard office equipment
- Knowledge of clerical and administrative procedures and systems such as filing, and general organization of office documents and equipment
