Job Summary
We are seeking a detail-oriented and proactive Scheduler to join our dynamic team. The ideal candidate will play a crucial role in quoting new residential customers, scheduling jobs for service techs, communicating with direct manager and adjacent departments, making accounts in the system, and some additional complimentary admin work. This position requires strong communication skills and an understanding of scheduling workflow.
- Quote incoming service requests for new and existing residential propane installations.
- Schedule/assign service calls, installations, and emergency jobs to techs.
- Prioritize urgent and time sensitive jobs while balancing routine maintenance calls.
- Confirm and followup appointments with customers.
- Reschedule jobs as necessary.
- Communicate daily with Residential Service Manager to ensure all goals, timelines, and operations are outlined and achieved.
- Communicate interdepartmentally with Operations Manager, Delivery Route Manager, and Office Manager when needed.
- Monitor inventory levels and report weekly.
- Follow up on jobs that customers haven't committed to.
- Monitor customer service program to report to manager.
- Prepare reports on scheduling efficiency, production output, and inventory status for management review as needed.
- Bill out quoted jobs
- High school degree or GED
- 1-3 years of experience in scheduling, dispatching, or customer service in plumbing, HVAC, electrical, or similar trades.
- Proven experience in Microsoft Office (Excel, Outlook, Word, Teams, etc)
- Ability to quickly learn new internal field service system.
- Strong verbal and written communication skills (customer-facing role)
- Professional phone etiquette and ability to handle difficult or urgent calls.
- Excellent time management and organizational skills.
- Knowledge of plumbing terminology preferred.
- Bilingual is a plus (not required)
