Meritum Energy is seeking a detail-oriented and compliance-driven Safety & Compliance Administrator to support and administer safety, regulatory, and compliance programs across operations involving DOT-regulated activities, CDL drivers, and the handling and delivery of refined fuels and propane.
This role is responsible for maintaining regulatory compliance, managing incident reporting and claims processes, supporting safety training documentation, and assisting with Safety Committee initiatives. The position works closely with operations, HR, insurance carriers, and leadership to ensure a safe, compliant, and audit-ready work environment.
- Maintain compliance with DOT, FMCSA, PHMSA, OSHA, NFPA 58, and state regulations
- Manage and maintain Driver Qualification (DQ) files
- Including drug and alcohol testing
- Track certifications and expirations
- Maintain current driver log management functions, including reports and filing according to FMCSA standards, and communicate with managers/dispatch/drivers for any necessary corrections. This also includes auditing logs/ELD’s and assisting the Director of Safety with disciplinary corrective actions
- Maintain hazmat shipping papers and regulatory records
- Manage and maintain the company’s Digital Permit Book program, ensuring all required permits, licenses, inspections, and regulatory documents are current, properly stored, and readily accessible to drivers and compliance personnel in accordance with DOT, state, and local requirements.
- Oversee fleet camera systems from a safety and compliance perspective, including monitoring footage for unsafe behaviors, ensuring cameras are operational, supporting incident investigations, coordinating coaching with managers, and maintaining compliance with company policies and regulatory requirements.
- Administer incident reporting workflow within KPA
- Coordinate investigations and root cause documentation
- Communicate and coordinate with insurance carriers and manage claims
- File First Report of Injury (FROI)
- Maintain OSHA logs and incident tracking
- Support audits and litigation documentation
- Track safety meetings across locations
- Monitor and maintain completion of required training
- Organize safety documentation for audits
- Assist in preparing Safety Committee agendas and meeting materials
- Compile safety metrics
- Document meeting minutes and track action items
- Support continuous improvement initiatives and follow up accountability
- Prepare documentation for regulatory and insurance audits
- Conduct internal audits

- High school diploma required; degree preferred
- 2+ years safety/compliance or related experience- Knowledge of DOT, OSHA, and workers’ compensation processes
- Strong organizational and communication skills
- Proficiency in Microsoft Office
