Job Description
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, be detail-oriented, and have experience in office management. Bilingual candidates are encouraged to apply.
Roles & Responsibilities:
- Answer phones and transfer to the appropriate staff member.
- Review & Record bill in ERP.
- Maintain AP ledger & coordinate with vendor.
- Take and distribute accurate messages.
- Greet vendors and clients and direct them to the correct staff member.
- Coordinate messenger and courier services.
- Receive, sort and distribute incoming mail and prepare outgoing mail for distribution.
- Monitor incoming emails and answer or forward as required.
- Fax, scan and copy documents.
- Maintain office filing and storage systems.
- Update and maintain databases such as mailing lists, contact lists and client information.
- Retrieve information when requested.
- Co-ordinate and maintain staff administrative records
- Organize travel arrangements for staff.
- Co-ordinate and organize appointments and meetings.
- Assist with event planning, trade shows organizing and implementation.
- Monitor and maintain office supplies.
- Ensure office equipment is properly maintained and serviced.
- Perform work related errands as requested such as going to the post office and bank.
- Follow QHSE procedures and guidelines defined
- Effective implementation of QHSE practices
- QHSE participation and consultation
- Involve in Emergency preparedness and response drills
Education:
High School Degree or Equivalent
Experience: 1+ Years
Competencies / Skills:
- Experience as an office assistant or in related field.
- Basic Computer Skills.
- Ability to write clearly and help with word processing when necessary.
- Warm personality with strong communication skills.
- Ability to work well under limited supervision.
- Great communication skills.
- Have a valid driver license
