Job Summary
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong leadership skills, exceptional communication abilities, and a solid background in office management. This role requires expertise in various administrative tasks, including bookkeeping, payroll, and vendor management, while also providing support to our team and enhancing overall productivity.
- Manage day-to-day office operations, ensuring efficiency and effectiveness in all processes
- Supervise and train administrative staff, fostering a collaborative team environment
- Oversee scheduling and calendar management for executives and staff
- Handle payroll processing and maintain accurate employee records
- Coordinate event planning and logistics for company functions
- Manage vendor relationships and negotiate contracts to ensure cost-effective services
- Maintain organized filing systems for documents, both physical and digital
- Utilize QuickBooks for bookkeeping tasks, including budgeting and financial reporting
- Provide exceptional front desk support, including managing multi-line phone systems with professionalism
- Assist with human resources functions such as recruitment, onboarding, and training & development initiatives
- Ensure compliance with office policies and procedures while promoting a positive workplace culture
- Proven experience in office management or a similar administrative role
- Strong organizational skills with the ability to manage multiple priorities effectively
- Excellent communication skills, both written and verbal, with strong phone etiquette
- Familiarity with medical office management is a plus but not required
- Experience in supervising teams and managing clerical tasks is essential
- Proficiency in schedule management, event planning, vendor management, budgeting, and payroll processing
