Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing administrative support, and delivering excellent customer service. This position requires strong communication skills, proficiency in various computer software applications, and the ability to manage multiple tasks efficiently. You will be a key part of the efficient operation of our office and support to the Project Managers and CEO.
Responsibilities
•Manage front desk operations, including greeting visitors and answering phone calls.
•Perform administrative tasks such as scheduling appointments, maintaining calendars, and organizing files.
•Utilize Google Suite for document creation, data management, and communication.
•Handle financial transactions and maintain records using QuickBooks.
•Proofread documents for accuracy and clarity before distribution.
•Assist with customer service inquiries and resolve issues promptly.
•Support the Project Managers and Technicians
•Maintain an organized workspace to enhance productivity and efficiency.
Requirements
•Proven experience in an administrative role; proven experience in performing administrative tasks.
•Strong organizational skills with the ability to prioritize tasks effectively.
•Proficiency in Google Suite applications (Docs, Sheets, Drive) and QuickBooks.
•Excellent proofreading skills with attention to detail.
•Strong customer service orientation with effective communication skills.
•Ability to work independently as well as part of a team.
•Previous experience as a clerk or in a similar position is desirable.
•Ability to manage scheduling of work crews
•Strong communication with our Vendors and Clients
•A strong understanding of financials and booking. You will interact with the CFO on a regular basis
•Understanding of process documentation and improvement
•Strong competency in learning new IT systems and their inter dependability
•An understanding of building construction and insurance procedures is a strong positive
