As we continue to grow, we’re seeking a motivated Office Administrator to support day-to-day operations and help us streamline our business functions.


Position Summary

The Office Administrator will manage front office operations and provide administrative support across departments. This is a key role that involves office coordination, customer service, and office administration. The ideal candidate is detail-oriented, tech-savvy, bilingual (English/Spanish), and thrives in a fast-paced environment.


Key Responsibilities

· Perform general office administrative duties, including answering phones, managing correspondence, and greeting visitors.

· Maintain organized filing systems (physical and digital) for contracts, invoices, and project records.

· Prepare and process customer invoices, purchase orders, and payment follow-ups.

· Track accounts receivable and follow up on overdue payments.

· Coordinate office supply orders, vendor communications, and inventory tracking.

· Update and manage customer contact databases and CRM systems.

· Provide scheduling and administrative support to project managers and executives.

· Assist with data entry, and document preparation.

· Handle incoming and outgoing mail and deliveries.

· Support HR and payroll documentation as needed.

· Maintain confidentiality and represent the company professionally.


Qualifications & Skills

· 2+ year's experience in administrative or office management roles (construction/manufacturing preferred).


· Bilingual in English and Spanish (Required).

· Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

· Experience with QuickBooks, CRM systems, or similar software is a plus.


· Excellent written and verbal communication skills.

· Highly organized with attention to detail and accuracy.


· Strong problem-solving and critical-thinking abilities.

· Able to multitask, prioritize, and manage time effectively.


· Positive attitude, reliable, and self-motivated.


· As duties assigned.


Schedule & Work Environment

Full-Time | Monday–Friday | 7:30 AM – 4:30 PM


Office environment, occasional warehouse coordination (same building)
