The Inside Sales Representative will play a critical role in supporting the outside sales team, specifically the Product Support Sales Representatives (PSSRs), by assisting with the preparation of estimates and ensuring seamless communication with both internal teams and customers. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks in a fast-paced environment.
- On Boarding and Setting Up New Accounts: (in conjunction with the PSSR)
- Steeping the customers through the onboarding process as well as setting up new accounts
- Ensuring the customer understands all needed documentation to establish an account
- Gather all needed information from the customer on what must be submitted to the customer for invoicing and the customers payment requirements
- If there are site specific policies or procedures these must be entered into the customer account notes
- Estimate Preparation:
- Prepare and deliver accurate estimates based on customer requests or Additional Service Requests (ASR) submitted by our technicians.
- Collaborate with internal teams to gather all necessary information for estimates.
- Ensure all estimates meet customer requirements and company standards.
- Review and track ASRs submitted by internal teams.
- Follow up on outstanding ASRs to ensure timely completion and approval.
- Provide updates on the status of ASRs to the relevant parties.
- Work Order Management:
- Open work orders once an ASR is approved, ensuring all required customer information is included.
- Coordinate with the relevant teams to ensure the work order is processed and delivered according to customer expectations.
- Communicate with customers as necessary to clarify requirements, ensure satisfaction, and gather any missing information for estimates.
- Maintain professional relationships with customers and internal teams, ensuring smooth communication throughout the sales and service process.
- Work closely with the PSSRs to ensure a cohesive sales process and effective support.
- Collaborate with cross-functional teams to ensure all customer needs are met and deadlines are adhered to.
- Maintain accurate records of all ASRs, estimates, and work orders.
- Assist with the preparation of regular sales reports and updates on pending estimates.
- Perform other sales support functions as required by the leadership team.
- Stay updated on product knowledge, pricing, and service offerings to ensure accurate estimating.
- Report all recognized unsafe conditions or acts to Management.
- Wear proper PPE when necessary.
- High school diploma, GED, trade school or equivalent.
- Previous experience with inside sales, customer service, or administrative support role is a plus.
- Technical background or experience is preferred.
- Familiarity with sales processes, estimate generation, and working with internal teams.
- New Account Setup: Measured based on the number of new customer accounts successfully set up with all required documentation.
- Estimate Turnaround Time: Measured based on the average time taken to prepare and deliver estimates.
- ASR Management: Measured based on the percentage of ASRs reviewed and closed within the designated timeframe.
- Work Order Accuracy: Measured based on the percentage of work orders processed correctly with all necessary customer details.
