This is a salaried, in-office role with general availability required in the evenings and on Saturdays (from home) to support the install department. This may include taking calls from the field, answering customer questions, or scheduling installs and return appointments if something is sold or completed late in the day. Active after-hours work is limited, typically totaling no more than 5 additional hours per week depending on demand.
Salary:
$50,000 – $65,000 per year (based on experience)
Job Summary:
This is a new, hands-on role at Legend Air & Electric designed to support and streamline our HVAC install operations. There’s no formal training program—you’ll learn as you go and help develop the processes that make this role your own. We're looking for a proactive self-starter who can stay organized, move fast, and keep multiple tasks on track without getting overwhelmed. You’ll be the hub connecting our sales team, installers, warehouse, and customers.
Key Responsibilities:
•Own the Install Process from Sale to Completion: Take full responsibility for seeing each project through—from the moment it's sold to final follow-up—ensuring every detail is handled accurately and nothing is missed.
•Schedule Install & Return Service Appointments: Coordinate installation dates and follow-up appointments for any additional work.
•Verify Job Readiness: Ensure all necessary documents, forms, notes, and payment details are in place before scheduling.
•Assign the Right Crew: Confirm and assign the appropriate install team to the job and notify them of all details.
•Coordinate with the Warehouse: Ensure the warehouse team is informed and properly preparing for all upcoming installs or return visits.
•Communicate with Customers: Reach out to customers to confirm details, set expectations, and provide ongoing updates. Be their main point of contact throughout the entire process.
•Prepare Job Packets & Customer Folders: Organize and provide everything the team and customer need for a smooth install.
•Order & Track Equipment or Materials: Place and monitor any necessary orders, ensuring delivery and availability by install date.
•Confirm Work Completion: Follow up after the job to confirm all work was completed to standard and that any return items were handled.
•Track Payments & Process Invoices: Verify payment has been collected and properly recorded in the system.
•Tally Installer Pay Accurately: Track job completion and ensure task pay is properly calculated and submitted.
•Create & Improve Processes: Help build workflows, checklists, and systems that support smoother operations.
•Support Technicians: Check on, order, and track parts needed for service or return visits.
•Work Cross-Functionally: Collaborate with CSR, dispatch, warehouse, and other departments as needed.
•Assist with CSR & Dispatching: Step in to help with answering phones, scheduling, and dispatching when needed.
•Assist with Projects & Daily Tasks: Jump in where needed and handle assigned tasks to support day-to-day operations.
•Be Available Until Completion: Remain available and responsive until the install or service appointment is fully completed.
Qualifications:
•Proven experience in HVAC or other home services industries (e.g., electrical or plumbing).
•Strong organizational skills and ability to multitask in a fast-paced environment.
•Excellent communication skills, both verbal and written.
•Detail-oriented with a strong focus on customer satisfaction.
•Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar); experience with HVAC scheduling or management software is a plus.
•Ability to work independently and as part of a team.
•Must have a reliable vehicle and the ability to commute to our office/shop location.
•Must have strong attendance and dependability—showing up on time and ready to work every day is essential.
•Knowledge of HVAC installation and industry regulations is preferred.
•Previous experience with permits, inspections, and coordinating subcontractors is a plus.
•Experience working for an HVAC company is strongly preferred.
•ServiceTitan experience is a plus.
•Bilingual (Spanish/English) is a plus, but not required.
