Summary
Scheduling Coordinator's daily tasks involve scheduling both inbound and outbound calls and dispatching HVAC technicians, ensuring efficient service to customers, and managing the flow of service requests. You will coordinate with customers, technicians, office personnel and other support teams to ensure timely and effective service. The role also includes maintaining accurate records, tracking service history, and resolving scheduling conflicts.
Essential Functions
•Receiving and processing customer service requests, both scheduled and unscheduled. Scheduling technicians for service appointments, considering their availability, skills, and route efficiency, ensuring they have all necessary information and resources.
•Communicating with customers to schedule service appointments, provide updates, and resolve any issues. Ensuring that customers are informed about service details, expected timelines, and any necessary preparations. Communicating with technicians regularly to provide updates, resolve issues, and ensure efficient service delivery.
•Tracking service history and maintaining accurate records of customer information and service requests. Ensuring that all necessary documentation is completed and filed correctly.
Responsibilities
•answering phones, transfer calls to appropriate staff member when needed, scheduling appointments, assisting customers with questions when possible, perform schedule efficiency audits regularly, receive payments via phone, other duties may be assigned.
Skills
•Strong organizational skills and attention to detail.
•Excellent communication and interpersonal skills.
•Ability to prioritize tasks and manage multiple projects simultaneously.
•Knowledge of HVAC equipment and service procedures a plus but not required.
•Familiarity with scheduling software and dispatch systems.
•Ability to work independently and as part of a team.
Requirements
•Minimum 2 Years of work experience in a related area that demonstrates professionalism, inclusive of the ability to work well with others, provide outstanding customer service and handle stressful situations in a constructive manner.
•Experience with Payzerware, ServiceTitan or similar preferred but not required.
•Min 2 years experience in scheduling, dispatching, front desk reception- preferred.
•Min 2 years experience in Office Suites and Outlook
•Must be able to pass background and drug screen.
