HVAC Controls Coordinator

Job Summary:

We are seeking a detail-oriented and proactive administrative assistant to support our team with day-to-day administrative and clerical tasks. The ideal candidate is highly organized, communicates effectively, and can manage multiple responsibilities in a fast-paced environment.


Key Responsibilities:

Perform general office duties such as data entry, managing calendars, and handling correspondence
Schedule and coordinate meetings, appointments, and sales calls
Maintain organized digital and physical filing systems
Prepare reports, memos, and other documents as needed
Support various departments with data entry, record keeping, and document preparation
Maintain confidentiality of sensitive information.


Qualifications:

High school diploma or equivalent (Associate’s or Bachelor's degree preferred)
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Strong attention to detail and organizational skills
Ability to multitask and prioritize tasks effectively
Professional demeanor and positive attitude


Preferred Skills:

Experience with office management systems and procedures
Familiarity with scheduling and project management tools.


Working Conditions

While performing the duties of this job, the employee is regularly required to stand, walk, squat, bend, and lift for extended periods of time; talk and hear; perform fine motor, hand, and finger skills in the use of working with tools. Wear protective equipment (PPE) and work clothing and boots. This job will require physical exertion, such as climbing, lifting, and carrying heavy objects, reach with arms and/or hands. This position is performed in a non-climate-controlled temperature environment, working offsite at various construction sites, and building locations. Position expectations to work full 40-hour work weeks and maintain a flexible work schedule to achieve project objectives.
