Position Summary
We are a well-established and growing construction company seeking a Human Resources & Administrative Coordinator to join our team. This is a dynamic, cross-functional role that combines HR support and administrative responsibilities for daily office operations and leadership assistance. The ideal candidate is proactive, accurate, detail-oriented, and willing to be cross-trained in all facets of the business.
Key Responsibilities
Human Resources Support
•Manage the full onboarding process, including job postings, resume review, interview scheduling, background checks, drug screening coordination, and new hire paperwork.
•Maintain accurate and up-to-date employee records in compliance with federal, state, and company policies.
•Process and track workers’ compensation claims: coordinate incident intake, communicate with insurance providers, and follow through on required documentation.
•Track employee certifications, licenses, and training compliance.
•Administer employee benefits enrollment, changes, and communication with insurance providers.
•Support offboarding and ensure proper documentation for terminations.
•Ensure HR practices comply with all applicable employment laws and company policies.
Administrative & Leadership Support
•Provide administrative assistance to Leadership, including scheduling meetings, preparing documents for signature, scanning, filing, and printing.
•Complete monthly expense reports for Leadership.
•Coordinate travel arrangements for Leadership and staff as needed.
•Assist with drafting, executing, and filing internal and external documents.
Office & Operational Support
•Maintain inventory of office supplies and coordinate service or repairs for equipment.
•Greet and assist office visitors and serve as the main point of contact for guests.
•Support food and beverage logistics for internal meetings and company events.
•Ensure office cleanliness and organization, especially when hosting guests.
•Manage incoming mail and deliveries, ensuring timely distribution.
Event Coordination
•Plan and coordinate internal events, including occasional after-hours events with advance notice.
Software & Data Management
•Serve as the point of contact for onboarding user accounts for employees and customers.
•Perform data entry with a high degree of accuracy and maintain well-organized digital and physical files.
Cross-Functional Support
•Willingly cross-train and assist with Accounts Receivable, Accounts Payable, and Payroll as needed.
•Collaborate with internal departments to support smooth business operations.
Required Qualifications
· Bilingual in English and Spanish is not required but would be a valuable asset to the team.
· Minimum of five years of experience in construction, excavating, or a related field, with a preferred background in HR and office support.
· Must have five years of experience using QuickBooks Desktop.
· Strong knowledge of HR procedures, including onboarding, benefits administration, compliance, and workers’ compensation.
· Exceptional accuracy and attention to detail in handling documents, records, and data entry.
· Ability to manage confidential information with professionalism and discretion.
· Proficiency in Microsoft Office Suite, SharePoint, and QuickBooks; familiarity with B2W is a plus.
· Excellent verbal and written communication skills.
