Position Summary
We are looking for a professional, detail-oriented receptionist to provide front desk coverage and administrative support across multiple affiliated companies. This role involves managing a multi-line phone system, greeting clients, scheduling meetings, and assisting with clerical tasks.
Key Responsibilities
· Greet clients and visitors with a friendly and professional demeanor
· Answer, screen, and direct incoming calls for several affiliated businesses
· Accurately take and deliver messages to appropriate team members
· Schedule and manage the use of conference rooms
· Perform clerical tasks such as data entry, scanning, copying, and filing
· Organize and maintain both paper and electronic client files
· Assist with client check-ins and scheduling appointments
· Monitor office supplies and notify staff when restocking is needed
· Maintain cleanliness and order THROUGHOUT THE OFFICE.
Qualifications
· Previous experience as a receptionist or administrative assistant preferred
· Ability to manage multiple phone lines and prioritize tasks efficiently
· Professional appearance and a positive, courteous attitude
· Strong attention to detail and accuracy in data entry and message taking
· Proficient with Microsoft Office and able to learn firm systems
· Experience with scheduling tools and document management is a plus
