Everything matters! The Associate Contracts Administrator supports the administration and coordination of internal and external contract documentation. This role assists with preparation, processing, tracking, and compliance activities related to owner contracts, subcontracts, purchase orders, change orders, and insurance documentation. This position is designed as a developmental role, providing exposure to construction contract administration, risk management, and internal process compliance, with the opportunity to grow into a Contracts Administrator role.

The ideal candidate will create structure, clarity, and accountability within the contract administration process while fostering a culture of precision, responsiveness, and collaborative partnership across all departments. Everything matters!
- Assist with preparation, processing, distribution, and tracking of owner contracts, subcontracts, purchase orders, and change orders using company systems and established processes.
- Maintain accurate records of communication and document revisions during review cycles.
- Support preparation of finalized contract documents for execution using AIA software and e-sign platforms.
- Gather and organize relevant documentation, including redacting sensitive information as required.
- Assist with insurance documentation tracking, certificates of insurance, and compliance monitoring.
- Support insurance claims administration by collecting and organizing required documentation.
- Attend Job Status Review meetings to capture contract-related updates and monitor compliance.
- Help maintain organized digital and physical contract files.
- Provide timely and responsive internal customer service to Project Managers and department leaders.
- Assist in preparing reports, summaries, and presentations as needed.
- Support training coordination related to subcontract and change order processes.
- High school diploma required.
- Strong organizational skills with high attention to detail.
- Ability to manage multiple tasks in a fast-paced environment.
- Clear written and verbal communication skills.
- Strong work ethics with a proactive, solutions-oriented mindset.
- Proficient in Microsoft Office Suite.
- North Carolina notary public (or ability to obtain within 60 days of start date).
Work format: This is a flexible position with remote work allowed as needed (approx. 1-2 days per week). Team collaboration and presence at in-person meetings are critical.
- Occasional travel to meetings or events within 50-mile radius of office, 2-4 times per month
- Occasional travel to various locations requiring an overnight stay, 2-4 times per year
- Requires lifting and moving objects up to 40 lbs.
