Administrative Operations Coordinator - CNC Machine Shop (aerospace/defense)
We’re looking for a highly organized Administrative Operations Coordinator to join our team. This role supports multiple departments—including Sales, Purchasing, Production, Quality, Finance, and HR—by keeping our systems accurate, our processes smooth, and our customers informed. - Enter sales orders, create work orders, and maintain customer documentation.
- Act as a customer service point of contact—providing updates and screening inquiries.
- Support Purchasing with RFQs, issuing POs, and tracking vendor deliveries.
- Reconcile vendor invoices against POs and resolve discrepancies.
- Track production due dates and priorities, ensuring internal alignment.
- Assist Quality and QA teams with open issues and audits.
- Support HR with timeclock corrections, onboarding paperwork, and employee files.
- Provide general admin support across departments as needed.- 2+ years in an administrative, coordinator, or operations support role (manufacturing a strong plus).
- Strong organizational skills and attention to detail.
- Comfortable juggling multiple priorities in a fast-paced setting.
- Proficiency with ERP/MRP systems and Microsoft Office.
- Strong communication and customer service skills.
- Work across all major business functions—sales, operations, finance, HR, quality.
