The Administrative Assistant plays a crucial role in supporting daily office operations, ensuring a welcoming front desk presence, and assisting with a variety of administrative functions. The ideal candidate is a proactive self-starter who thrives in a dynamic and people-centric environment.
- Serve as the first point of contact by greeting visitors, answering phones, and managing general inquires
- Perform a variety of clerical tasks including data entry, preparing documents, and handling mail
- Ensure the front desk and common areas are clean and welcoming
- Receive, log, and distribute incoming packages and shipments
- Coordinate with external vendors (e.g., janitorial, vending) to ensure timely and effective services
- Monitor office supply level and reorder as necessary
- Assist staff with HR or payroll related inquiries by directing them to appropriate contacts or systems
- Coordinate meals or catering for meetings and events
- Help plan and execute office functions, team-building initiatives, and employee celebrations
- Other duties as assigned
- High School Diploma
- Previous experience in administrative, office coordinator, or front desk role preferred
- Strong communication and interpersonal skills
- Highly organized with the ability to prioritize and multitask effectively
- Proficiency in Microsoft Office and general office systems
- Friendly, professional demeanor with a proactive, can-do attitude
- Required to sit for extended periods of time
- Occasionally stand, walk, bend, and reach to access supplies and office equipment
- Lift and/or move objects up to 20 pounds
