Job Summary:
The Administrative Assistant in the Shipping Department is responsible for providing administrative support to ensure efficient operation of the shipping department. This role involves handling a variety of tasks related to shipping, logistics, and customer service.
Key Responsibilities:
•Order Processing: Prepare and process shipping orders, ensuring accuracy in quantities, destinations, and routing.
•Documentation: Create and maintain shipping documents such as bills of lading, invoices, and packing lists.
•Database Management: Maintain and update the shipping department's database with current information about shipments and inventory.
•Coordination: Coordinate with production planning to ensure materials are ready for shipment as required.
•Customer Service: Respond to customer inquiries and resolve any shipping-related issues or complaints.
•Inventory Management: Monitor and manage inventory levels to ensure adequate stock for shipments.
•Compliance: Ensure all shipping activities comply with company policies and regulatory requirements.
•Reporting: Prepare routine reports on shipping activities and performance metrics.
•Communication: Liaise with internal departments and external carriers to facilitate smooth shipping operations.
•Miscellaneous Duties: Perform other administrative tasks as assigned by the shipping manager.
Qualifications:
•Education: High school diploma or equivalent; additional qualifications in logistics or business administration are a plus.
•Experience: Previous experience in a shipping or logistics role, preferably in a manufacturing or industrial setting.
