Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. In this role, you will be responsible for providing essential administrative support, ensuring the smooth operation of our office environment. The ideal candidate will possess strong time management skills and a commitment to maintaining high standards of professionalism.
Key Responsibilities
•Answer and route calls, emails, and messages in a timely and professional manner
•Accurately maintain and update customer records and job files
•Assist in coordinating project schedules and interdepartmental communications
•Record customer payments and maintain internal documentation
•Perform receptionist duties and serve as the first point of contact for customers
•Ensure team compliance with company policies and processes
•Promote a positive, productive office environment
What We're Looking For
•Proven organizational and time management skills
•Ability to prioritize and manage multiple responsibilities
•Strong written and verbal communication skills
•Analytical thinking and problem-solving abilities
•Comfortable with digital tools like Google Docs, Sheets, Calendar, etc.
•Experience with cloud-based platforms like Google Drive, Slack, or Trello is a plus

•Recent experience working in construction, facility maintenance, or a service-based company

Qualifications
•Proven administrative experience in a fast-paced environment
•Strong time management and organizational skills
•Proficiency in Microsoft Office and Google Suite
•Excellent customer service and phone etiquette
•Experience with data entry and filing systems
•Familiarity with QuickBooks and multi-line phone systems is a plus
