Position Overview:
We are seeking an experienced Administrative Assistant to join our team! The ideal candidate will provide essential support to ensure smooth operations within the office. This role requires a proactive individual who can manage multiple tasks efficiently while maintaining a professional demeanor. A successful Administrative Assistant is a self-starter who takes the initiative, has a willingness to learn, is creative and thinks outside of the box.
Key Responsibilities:
· Answering Phones, checking voicemail.
· Checking the Mailboxes daily.
· Runs the front desk, serving as the first point of contact for guests, employees, job candidates, delivery drivers, and vendors.
· Performs general administrative tasks, such as answering and directing phone calls, handling of mail, emails/faxes. Job Coding Mail/Invoices/Statements that come in.
· Coordinates deliveries with appropriate Office Staff.
· Keeps the office stocked and organized in the Kitchen, Conference Rooms, Storage Closets and Communal Areas. (Supply/Grocery Orders).
· Ensuring Office Printers/Copiers/Equipment is operable.
· Maintain filing and contact database system.
· Coordinates- Combine Meetings/Annual and Monthly Meetings.
· Provides support to all staff.
· Assists - in preparing for monthly meetings. Coordinating food orders/delivery, set up and breakdown.
· Assists in registering for networking events/trainings.
Preferred Qualifications:
•2+ years of proven experience as an Administrative Assistant or in a similar role is preferred.
•Excellent written and verbal communication skills. Strong typing skills with attention to detail for accurate data entry and documentation.
•Excellent time management abilities to handle multiple priorities effectively.
•Proficient with Microsoft Office Suite
•Aptitude to learn new software and enhance company procedures.
•Notary License/ Bilingual (Spanish) a plus.
•The ability to provide exceptional support to clients and colleagues alike.
